Recycling withdrawn Government Documents

Government documents sent to CRS to withdraw will be marked "return for needs and offers list" or "recycle" by a Government Documents staff member.

Pieces marked for return to documents will be boxed and labeled "Withdrawn returns" and shipped back to the Government Documents department.

Pieces marked for recycle will be tossed by CRS. Paperbound books, maps, brochures, and single-page documents should be placed in the appropriate recycling bin after all cataloging records are resolved. Covers should be removed from hard-bound volumes and tossed and the pages placed in the appropriate recycling bin after all cataloging records are resolved.

Note: Add a note to the Holding record for the new edition of the title that reflects the normal retention policy for the title. (example: Retains latest edition)

Withdrawing one volume of a serial or monographic multi-volume set

Withdrawing one volume of a multi-volume set has been done by moving the item to a separate MFHD with the settings that the book had before (stacks, etc.). The MFHD gets Withdrawn added to the end of the call number (‡i), a note and is suppressed. Any other volumes that are then later withdrawn can be re-linked to this new MFHD.

Monographs will not require symbol maintenance on OCLC unless all volumes of the title have been withdrawn. Serials will require OCLC LDR maintenance.

Withdrawing Electronic Titles (mono)

Titles retained only in electronic form should be deleted from the Voyager Cataloging module when the title is no longer available (superseded, etc.). In order to process these:

It is not necessary to search these in OCLC Connexion because we do not attach our symbol to titles that are available for free and are accessible only online.


Withdrawing Superseded Multi-format titles (mono)

If the entire title has been superseded by a later edition of the title, withdraw the title as you would a single format, single part title.

If the latest edition of the title is accessible online only, retain the latest edition of the physical and the electronic form of the title.
