General guidelines

All Government Documents shipments are received by Government Documents staff and will be checked in following the established procedures.

US and GA Documents Routing

All Documents will be unboxed and sorted by Government Documents staff.

Pieces that do not require cataloging or bibliographic record edits will be handled by Government Documents staff.

Pieces requiring cataloging or any action on the bibliographic record remain in the box and are sent to the Resource Management staff assistant in CRS.

Microfiche shipments

Microfiche received in Government Documents will remain in the department until ready for filing.

A copy of the shipping list is routed to the Resource Management staff assistant. The shipping list information is usually sufficient for the selection of full bibliographic records.

Shipping List Boxes in CRS

The Government Documents Staff Assistant routes new U.S. Documents shipping list titles to the Resource Management Staff Assistant as they are ready for cataloging and Marcive temp replacement. Shipping list boxes are addressed and labeled with the date that they are sent from the Government Documents Department. The Access Services courier delivers the boxes to CRS.

The Resource Management Staff Assistant receives the box and searches OCLC Connexion and Voyager Cataloging for appropriate records. All serials will be routed to the Catalog Librarian for cataloging. Completed monographs will be shipped to the Government Documents Assistant who handles monographs for MFHD and Item setup.

Shelflist Project boxes in CRS

The Government Documents Staff Assistant boxes material from the shelves by SuDoc number and routes the boxes to the Catalog Librarian.  The boxes are delivered to Resource Management and placed on trucks in the prescribed order (SuDoc number for individual pieces, alphabetically by titles for CWAN sets) by Student Assistants.

The Resource Management Staff Assistant searches for bibliographic records and separates monographs and serials. The monographs remain in the Resource Management unit for cataloging. Serial pieces are routed to the Catalog Librarian for serial cataloging.

The completed material is re-boxed and sent back to Government Documents after all titles shipped over are cataloged. The Catalog Librarian will request another section of the collection as each shipment is returned.

Government Documents Periodicals & Serial Titles sent to CRS
