Georgia Documents
Barcode Project
Monographs
Copies of bibliographic records for Georgia Document monographs
are filed in a notebook in order by call number. The titles have been
entered into Voyager including holdings and item creation. Each sheet
has a bar code stapled to it that has been entered into Voyager.
Most titles have been coded for a bin size in the ARC or coded as “Not
Ready” due to type of material.
Locate the monographic piece that matches the bibliographic printout.
Verify that the call number on the piece matches the call number
in the bibliographic record.
Stamp the material with Georgia Depository ownership stamp.
Use envelopes to house pamphlets, single sheets, and other materials
that will not "stand alone" on the shelf.
Write the title, call number, and barcode number on the front of
the envelope.
ENVELOPE EXAMPLE
[GA DOCS Call Number]
[
Write Barcode Number Here]
[TITLE]
Apply the barcode to the item. If the item is in an envelope,
apply the barcode to the item and write the barcode number on the top right
side of the envelope.
In cases where the barcode cannot be applied
to the item, apply the barcode to the top right side of the envelope, and
write the barcode
number in small letters on the item inside the envelope if possible.
If a title is not located, add a note to the bibliographic
record copy: “Not located [date]”
Return bibliographic record copies and barcodes for materials not
located to the serials cataloger.
Mark each piece to which a barcode has been applied with a
small black or white dot (depending on color of piece) on the spine of the
material or the lower left front corner if the dot cannot be applied to the
spine.
Each bibliographic record copy has a note regarding coding
for storage in the Automated Retrieval Collection.. If the note says
that the piece was not coded, add the ARC size to the item record at this
time.
Titles that were not online at the time of cataloging were suppressed
until the collection could be made public. Remove the suppress status
from these records and make a note to that effect on the bibliographic
record.
After fully processing materials, return all copies of bibliographic
records to serials cataloger.
