Item Records- ARC coding


Each title that requires maintenance for any reason should be evaluated for storage in the Automated Retrieval Collection. Please use the criteria below to determine which Item statistics category to use in coding the piece for the ARC:

Measure the spine of the piece

If the spine is less than 3/8 inch thick, code the item statistics 00in not ARC ready

If the spine is 3/8 inch thick or greater, measure the height of the piece in inches and code the item statistics for a bin at least one inch deeper than the piece is tall.  (Bin options are 6, 10, 12, 14 and 18 inches)

Brochures and pamphlets
Paperback titles with less than 150 pages
Microfiche

Pieces greater than 3/8 in. thick (spine) and
equal to or less than 23 cm. in height

Pieces greater than 3/8 in. thick (spine) and
equal to or less than 28 cm. in height
Pieces greater than 3/8 in. thick (spine) and
equal to or less than 32 cm. in height
Pieces greater than 3/8 in. thick (spine) and
equal to or less than 43 cm. in height




Setting Multiple Microfiche Item records for the ARC

Click on the GIL QC icon on the screen.
Click on the Production tab.
Click on the Cataloging button.
Enter your ID and Password
Select File and Pick and Scan
·    Set the item options to change the Statistical Categories to 00in Not ARC Ready
·    Select the Items tab and place the cursor in the Barcode box.
·    Scan each barcode and wait for the system to process it.
·    Verify that each title is Microfiche (note exceptions on list)
·    Verify that each action is Processed
·    Close Pick and Scan after the list is completed.
